Grounding is the whole ballgame

A general-purpose chatbot with your logo on it will confidently invent a price, a policy or a turnaround time, and the first time it does that to a real client it has cost you more than it ever saved.

The fix is not a better model. It is constraining what it is allowed to answer from: your pages, your prices, your policies, your FAQs, and nothing else. It shows the page it used, so you can check it, and when the answer is not in there it says so and offers you instead. A handover is a captured lead, not a failure.

Answering is table stakes. Qualifying and booking is the value

Most chat widgets answer questions and stop. The commercial difference comes from the next two steps: asking the two or three things you need to know before a conversation is worth your time, and then booking a real slot rather than collecting an email address.

Roughly two thirds of enquiries go to whoever replies first, and most small firms reply the next working day. The same engine that answers on your site can reply to enquiries in your inbox within minutes at any hour, then follow up politely and finitely until someone answers or asks it to stop.

For a lot of firms that half alone justifies the project, and it is cheaper than the website widget.

No system with a language model in it is perfectly immune, so the stronger protection is the second rule: it may not give advice or quote outside an agreed range, and anything sensitive goes to a person.

How is this different from the chat widget our CRM already has?

Those usually answer from a canned FAQ list and give up on anything not in it. A grounded assistant answers from your actual pages and documents, links to the source, qualifies against your criteria and books a real slot. If your existing widget already does that, keep it.
